A useful fee calculation begins with the approved charge for the learner or fee category. Apply only an authorised discount, record the amount already paid, and calculate the remaining balance. Keep each figure visible so a parent or accounts officer can understand how the balance was reached.

Do not combine tuition, transport, meals, books, uniforms, examinations, and optional activities into one unexplained amount. Itemised records make corrections and receipts easier and reduce disagreement when a payment covers only part of the term.

Is the result a receipt?

No. A valid receipt should come from the school's authorised payment and accounting process.

What if a parent pays more than the balance?

Do not silently change the fee. Record the overpayment according to school policy as a credit, refund, or allocation to another approved charge.
