Invoice essentials

Make the amount and payment expectation unambiguous.

A professional invoice identifies the supplier and client, uses a unique invoice number, states issue and due dates, describes each item or service, shows quantities and prices, explains applicable tax, and provides verified payment instructions.

The calculator above is useful for a quick total and balance check. It does not create a tax-compliant accounting record, confirm that a tax rate applies, or replace the invoice numbering and reconciliation process used by the business.

Before sending an invoice, verify the client's legal or trading name, purchase-order reference where required, currency, bank details, tax treatment, and person authorised to receive it. After payment, match the bank reference to the invoice and issue the appropriate receipt or confirmation.

Worked exampleA service of 75,000 plus 7.5% produces 80,625. If 30,000 has been paid, the remaining balance is 50,625.
Fraud controlChanges to bank details should be independently verified through a trusted contact channel.
Keep togetherQuotation, approval or PO, invoice, delivery evidence, payment reference, receipt, and any credit note.

Questions

Invoice generator FAQ

Does this tool send or store my invoice?

No. The calculation runs in the browser. Use an approved business process to create, number, send, and retain the formal invoice.

Should every invoice include VAT?

No. Tax treatment depends on the supplier, transaction, jurisdiction, and current rules. Confirm with a qualified tax professional where necessary.

What is the difference between an invoice and a receipt?

An invoice requests payment. A receipt confirms that payment has been received and should reference the related transaction.
