Using age in school records

Calculate first, then apply the school's actual policy.

Age is often needed for admissions, class placement, examination registration, sports records, safeguarding forms, and student information systems. This calculator returns the learner's completed age as of today. It does not decide whether a learner qualifies for a class or programme.

For a decision tied to a future date, calculate against the official cut-off date rather than today's date. Confirm the date of birth from an accepted source document, record the date on which age was assessed, and follow the published admission or examination rule.

Where a date appears inconsistent, do not change it informally. Ask the authorised parent, guardian, admissions officer, or records team to resolve the discrepancy and retain the approved evidence.

ExampleA child born on 10 September 2018 has not completed the next year of age until 10 September, even if the school term begins earlier.
Keep with the resultDate of birth, calculation date, source document, purpose, and the staff member completing the check.
PrivacyA date of birth is personal information. Enter it only where needed and protect stored learner records.

Questions

Age calculator FAQ

Does this calculate age on a future admission date?

No. It calculates completed age today. For a formal cut-off, compare the birth date with the exact date stated in the policy.

Can this decide the correct class?

No. Class placement may also consider prior learning, school policy, assessment, curriculum, and safeguarding requirements.

Why is the result one year lower than a simple year subtraction?

The next birthday may not have occurred yet. Completed age must account for month and day, not only the two years.
